Meetings
and Absences
Notification Policy
How
to use your electronic calendar to follow this policy
- All
Library staff are
expected to use the Oracle Calendar (AKA, Corp Time Calendar) to notify
others of meetings and
absences.
- (a)
Every team, group
or committee meeting should be scheduled on the Oracle Calendar; (b)
Because meetings will be announced on the Oracle Calendar, all
Library
employees should check their calendars at least once a day in the
morning;
(c) All staff members should set their calendars to accept e-mail
notification
of meetings.
- (a)
All absences of one
day or longer should be added to the calendar and preceded by the ‘
Pushpin’ symbol (also known as ‘New Daily Note’). Pushpin notice
should also be sent to all library staff, librarians and computing
services staff using the calendar's "members-only" group called Law
Library. E-mail
notification of planned absences is not required; (b) To allow others
to
check conflicts when setting meeting dates, staff members should also
mark
all absences of one day or longer -- on their individual calendars only
-- by blocking out the entire day (from 8-5), so the absence will be
reflected
in the calendar’s ‘Check Conflicts’ function.
- Staff
members who regularly
work during the weekend or at times other than the normal work week
(8:00
a.m. to 5:00 p.m., Monday through Friday) should mark their personal
Oracle
Calendar to block those periods of the normal work week when
they
are regularly out of the library.
- Any staff
member who receives
word of a colleague’s unplanned absence (for example, a sick day)
should
send an email notice to the rest of the Library staff using the
LAWLIBALL listserv < LAWLIBALL@listserv.uga.edu
>.
