Professional Development Travel Budget

At the beginning of each fiscal year, the Director of the Law Library will establish and announce a travel budget for each librarian for the upcoming year. Each librarian is responsible for monitoring travel expenditures throughout the year and staying within their allotted travel budget. If a librarian exceeds their travel budget, expenses may be reimbursed at the end of the fiscal year if there are sufficient funds remaining in the travel budget.

Registration and other associated meeting fees are not deducted from each librarian's travel budget.

From time to time, the Director of the Law Library will appoint a librarian to represent the Law Library at an event such as the Solinet annual meeting, Innovative Interfaces users group or Federal Depository Library Program meetings. In these instances, travel expenditures will not be deducted from the individual's allotted travel budget.

Events (including workshops) sponsored by the following organizations are pre-approved for travel budget expenditures: AALL, SEAALL, GLA, NASIG, ALA, SLA, Solinet, Computers in Libraries, CALI and ASIL. Librarians must obtain the approval of the Director of the Law Library before making travel arrangements for events not covered by this list.

Many professional meetings are scheduled during the summer. Because the University fiscal year begins July 1 each year, some travel expenditures are split across separate fiscal years. Although advance planning can alleviate some confusion about which fiscal year an expenditure will charged, unfortunately there will always be some allocation between fiscal years that is beyond our departmental control. To alleviate the confusion and assist with planning, the Law Library Administrative Secretary will prepare three travel expenditure reports annually detailing each librarian's travel expenditures. Travel expenditure reports will be issued in September, January and May.

If a librarian knows that their entire individual travel budget will not be spent during a fiscal year, he or she will notify the other librarians as soon as possible to allow others to make travel decisions early in the fiscal year.

Budget permitting, an exception to the individual travel budget allocation may be made for librarians who travel for the purpose of making presentations at professional meetings, serve as officers in professional organizations, actively participate in a professional organization in an essential role, or other special circumstances. Requests for such support must be directed to the Director of the Law Library and should be made as far in advance of the meeting as possible.
